A/R Timeframe Reduced
When Arie Cusato started working as the Billing Manager at Seacoast Orthopedics & Sports Medicine in Somersworth, NH, she found that Accounts Receivable (A/R) had been a challenge for a long time. The days in A/R were very high. Accounts were not receiving the necessary attention, and staff did not follow up on unpaid claims due to lack of time. Additionally, reporting was a manual and very time-consuming process.
Arie realized that she had to change the staff’s mindset from “we’ll work the A/R after everything else is done: to “collecting money is part of our jobs”. Her first challenge in accomplishing this was to convince the staff to work their overdue accounts first. She devised a plan, working closely with the staff to redirect their activities so that they were working on delinquent accounts and making sure that outstanding balances were addressed. During this transition, Arie convinced her management to migrate their practice management system to Intergy by Sage. Once her staff was well-trained on Intergy coupled with their renewed focus on collections, Seacoast gained considerable efficiency, saved time, and improved the A/R process.
With Intergy, the staff works all accounts through the collection queue. They are able to control and adjust the queue to review accounts as needed. They now no longer have to manage paper reports. The staff knows that when they have a claim that needs to be worked, they’re not going to lose it any more. They know that the claim will come back up if it’s not paid by the date that they’ve set, and it will only come back if it’s not paid. They are now only dealing with the claims that need to be worked.
This has greatly improved efficiencies in regards to accounts receivable and has reduced the amount of time outstanding balances are in collections. Without these tools, she and her staff could not have reached this success.
Seacoast’s overall financial success was huge. The actual return on investment was far greater than what they expected from their initial ROI. Over the first 18 months, they could have paid for their system 4 times over with the additional receipts collected.
